Privacy Policy

Last updated: October 2026. How we protect your business, client, job, and invoice information.

1. Introduction

This Privacy Policy explains how InvoiceBloke handles information when you use the InvoiceBloke website, web application, job closeout workflows, and invoicing platform. InvoiceBloke is designed for freelancers, AV technicians, contractors, and service businesses to manage work, close out jobs, create invoices, track payment status, and resolve payment holdups.

This policy describes the practices implemented in the application. It is not a statement that InvoiceBloke has obtained an external third-party compliance certification.

2. Information We Collect

Account information: When you create an account, the application handles your name, email address, password-related authentication data, email-verification status, account timestamps, and subscription or plan information. Authentication is handled via secure session tokens.

Business and sender information: Invoices and job sheets may include your sender/business name, email address, physical address, business logo, tax identification (e.g. ABN, VAT, GST), default payment terms, and client rate defaults.

Client directory and contacts: You may store client names, email addresses, billing addresses, default tax rates, and specific team contacts (such as Producers, Project Managers, Accounts Payable leads, or Billing Contacts). You are responsible for having an appropriate legal basis or consent to provide this information.

Jobs and Job Closeout data: When using the Jobs workflow, the application stores job titles, PO/reference numbers, scope descriptions, event dates, venues, internal production notes, and billable items (including crew members, hourly durations, overtime rates and multipliers, equipment rentals, mileage, and job expenses).

Invoice and payment tracking: The application records invoice numbers, issue dates, due dates, currencies, line items, taxes, discounts, purchase order numbers, payment milestone schedules, payment statuses (e.g. unpaid, part-paid, paid, overdue), public invoice view tokens, and related timestamps.

Post-invoice resolution and communication inquiries: When you start an investigation for a delayed invoice, the application records your chosen reason (e.g. waiting for approval, missing PO), contact recipient, contextual inquiry notes, resolution outcomes, and generated email communications. These inquiries are sent only when you explicitly review and trigger them.

Private activity timeline: Internal notes, job closeouts, rate notices, and post-invoice resolution inquiries are stored exclusively in your private account activity timeline and are never exposed on public client-facing invoice views.

Payment and subscription records: If you subscribe to a paid InvoiceBloke plan (Pro or Business) or use Stripe payment links, Stripe processes payment details. InvoiceBloke does not store or process your full credit card numbers.

Technical logs and cookies: The application and hosting infrastructure (Neon Postgres, Resend, Stripe) maintain technical request logs strictly needed to operate, secure, and troubleshoot the service.

3. How We Use Information

InvoiceBloke uses information to authenticate users; manage accounts; log jobs and billable crew/kit items; convert closed jobs into invoices; generate PDF exports; track payment milestones; send user-reviewed inquiry and reminder emails; enforce plan limits; troubleshoot issues; and improve application reliability.

InvoiceBloke does not sell your private client lists, job logs, or invoice financial data to data brokers or third-party advertisers.

4. Third-Party Service Providers

InvoiceBloke utilizes infrastructure providers strictly to deliver core application functionality: Neon Postgres for relational database persistence, Better Auth for authentication, Resend for transactional email dispatch, and Stripe for subscription billing and payment processing.

Each provider processes information in accordance with their respective privacy and security commitments.

5. Data Retention and Security

We retain account, job, client, and invoice records for as long as your account remains active or as needed to maintain your business financial history. You may edit or delete jobs and clients directly within the application.

InvoiceBloke utilizes encryption in transit (HTTPS/TLS), hashed password authentication, session tokens, and strict per-user database query scoping to isolate each customer's data.

6. Your Privacy Rights & Contact

Depending on your jurisdiction, you may have rights to access, correct, export, or request deletion of your personal data.

To submit a privacy inquiry or request account closure, use the feedback/contact form on the InvoiceBloke homepage.
